Data Processing terms
These terms are part of the Terms of Service. They cover the personal information about your customers, their homes and the people at them that your shop keeps in HandledIQ (“customer data”).
1. Roles
Your shop is the business that decides why and how customer data is used (the controller). HandledIQ processes customer data only on your behalf (the processor, or “service provider”).
2. What HandledIQ does with customer data
- Uses it only to provide HandledIQ to your shop, as your use of the app and your settings direct, and as needed for security and the law.
- Does not sell it or share it for anyone’s advertising, and does not use it for its own marketing.
- Does not combine it with data from other shops or use it to serve another shop.
- Does not send it to outside AI companies. AI features that read it run on computers we operate, except speech-to-text during calls, which Telnyx performs.
- Keeps it confidential. Only people who need access to run or support HandledIQ have it, and they are bound to keep it confidential.
3. Your responsibilities
- Have a lawful reason to collect and use your customers’ information, and tell them how you use it.
- Get the consent the law requires before texting or calling customers. Automated or marketing texts need prior express written consent under the TCPA. Honor opt-outs right away; HandledIQ records a STOP reply and holds every later text to that number.
- Follow the rules for when you contact people. HandledIQ does not send automatic texts at night, but you are responsible for the timing of anything you send.
- Follow call recording and transcription laws where you and your callers are. HandledIQ’s receptionist announces itself and asks before saving a transcript.
- Ask before recording a visit in someone’s home, and follow the recording laws where you work. With coaching on, HandledIQ has the tech ask the homeowner first, keeps the answer, and records only after a yes.
- Keep your sign-ins secure and your records accurate.
4. Subprocessors
HandledIQ uses the subprocessors on the Subprocessors page. Each receives only what it needs for its task and is bound by its own data protection terms. We update that page before a new subprocessor starts handling customer data. If you object, tell us; if we can’t resolve it, you may stop using HandledIQ and take your export.
5. Security
HandledIQ protects customer data with the measures described on the Security page, and keeps them up to date.
6. If something goes wrong
If we confirm that customer data was accessed or disclosed without authorization, we will tell the shop’s owner without undue delay, say what we know about what happened and what was affected, what we are doing about it, and help you meet any notice duties you have.
7. Requests from your customers
You can see, correct and export your customers’ information in the app. If a customer contacts us directly, we pass the request to you and help you respond.
8. Export and deletion
The owner can download all of your shop’s records at any time from Passports & export. When you ask us to close your shop, we delete customer data except what the law requires us to keep; copies in encrypted backups are removed as those backups are replaced.
9. Where it is processed
Customer data is stored in the United States. Subprocessors may process parts of it elsewhere as the subprocessor list shows.
10. Questions and reviews
We will answer reasonable written questions about how we handle customer data, and provide this documentation. HandledIQ does not currently hold third-party security certifications. Email [email protected].
