Terms of Service

These terms are the agreement between your business and Ironclad Solutions LLC, a Puerto Rico company that operates HandledIQ (“HandledIQ”, “we”). They cover the HandledIQ app, its websites and the links it sends for you. Read them with the Privacy Policy, the Data Processing terms and the Acceptable Use policy, which are part of this agreement.

1. Who agrees

The person who creates a shop agrees for the business that shop belongs to and confirms they are at least 18 and allowed to bind it. “You” means that business. HandledIQ is for businesses, not for personal or household use. If your business has a signed order form or agreement with us, it wins where it differs from these terms.

2. Your account and sign-ins

The shop’s owner decides who can sign in and what role they have (owner, office or tech). Keep passwords private, and remove people who should no longer have access. You are responsible for what is done under your shop’s sign-ins. Tell us at [email protected] if you think a sign-in was misused.

3. Your records are yours

Your shop’s records, and the information about your customers and their homes, belong to you. You give HandledIQ permission to store, process and send them only to run HandledIQ for you, as these terms and your settings say. That permission is not a licence to keep or reuse them: it ends when your records are deleted. You can download a complete copy of your shop at any time from Passports & export in the app, with no fee and no request needed. If you leave, you take your records with you.

What HandledIQ never does with them:

4. Your customers

You are the business your customers deal with. You are responsible for having the right to put their information into HandledIQ, for telling them how you use it, and for the messages, calls, estimates and invoices you send them. Our Data Processing terms explain what each side does.

5. Messages, calls and payments

HandledIQ prepares texts, emails, calls, estimates and invoices. It sends something to a customer only when a signed-in person at your shop says yes, or when you have turned on an automatic send in Settings. What is prepared, what was attempted and what was delivered are kept apart and shown as they are. You are the sender of these messages and must follow the laws that apply to them, including consent and opt-out rules for texts and calls (see the Acceptable Use policy).

Card and bank payments go to your shop’s own Stripe account. Stripe moves the money; HandledIQ never holds it and never lends. Card numbers are entered on Stripe’s pages and are not stored by HandledIQ. HandledIQ keeps nothing from card or bank payments taken through HandledIQ: your shop pays only Stripe’s own fee. Cash and checks cost nothing. Financing offers come from your own lender, on the terms you enter.

6. Hoss and other AI features

Hoss and HandledIQ’s drafts, suggestions and summaries can be wrong. Check them before you rely on them. AI in HandledIQ can read and suggest, but it never authorizes money moving or a message going out by itself; a person or a setting you chose does.

7. Services you connect

You can connect services such as Stripe, Google, Meta, QuickBooks, Xero, Cloudflare or your old field-service software. Your own agreement with each one applies to your use of it. HandledIQ acts in those services only with the access you grant, and you can disconnect at any time. We are not responsible for those services’ own outages or decisions.

Some of them use what they receive under their own terms: Google Ads uses the booked jobs your shop sends it (an ad click’s own code, the time and the job’s value, never a customer’s details) for its bidding; Stripe checks payments for fraud; Telnyx turns a caller’s speech into text during receptionist calls when the caller agrees; and an AI app you connect, such as Claude or ChatGPT, handles what it reads under your own agreement with its company, including whether it trains on your chats.

8. Fees

HandledIQ will tell you any price before it applies to you, and you choose whether to continue. HandledIQ has one plan. It is billed each month for each of your locations, after the month ends, at the price shown on the Usage page before you start it. Where that price includes standard onboarding, it is charged once, on your first bill; work outside its published scope is quoted and approved before it starts. A founding price holds both its rates for 24 months from your first paid month; after that each can rise at most 5% a year, with 90 days’ notice. HandledIQ keeps nothing from card or bank payments (section 5). There is no long-term contract, no fee to cancel and no fee to take your records with you. Stripe’s own fees are between you and Stripe.

9. Leaving, and suspension

You can stop using HandledIQ at any time. From Passports & export, download your shop archive, or your customers, jobs, invoices and call recordings as spreadsheets other field service apps take in; then close the shop there. It closes 7 days later unless you keep it open: every sign-in ends and nothing more is sent. Within 30 days HandledIQ deletes its records and emails the owner a receipt signed with your shop’s own key, listing what was deleted and what the law makes us keep (phone numbers that asked not to be texted, and HandledIQ’s own bills to you). You can also email [email protected] from the owner’s email, as the Privacy Policy describes.

If HandledIQ ever stops running, we will tell every owner at least 90 days before, and for those 90 days you can still sign in, read everything and download it.

We may suspend a shop that breaks the Acceptable Use policy, puts others at risk, or where the law requires it. Unless the law or a serious risk prevents it, we will tell you why first and give you the chance to fix it and to export your records.

10. Changes to these terms

When these terms change we publish the new version with its date at Changes to these terms, and a signed-in owner sees a notice in the app. Using HandledIQ after the effective date means you accept the new version, and we record that. For changes that take something away from you, we will tell you before they take effect where we can.

11. What we promise, and its limits

We work to keep HandledIQ available, accurate and secure, but it is provided as it is and as available. We do not promise it will be uninterrupted or free of errors. To the extent the law allows, HandledIQ is not liable for indirect, incidental or lost-profit damages, and our total liability for any claim is limited to what you paid HandledIQ in the 12 months before the claim. Nothing here limits liability that the law does not allow to be limited.

12. Your responsibility to us

If a claim is brought against HandledIQ because of messages you sent, content you uploaded, or your breaking these terms or the law, you will cover the reasonable costs of that claim.

13. Law and disputes

These terms are governed by the laws of the Commonwealth of Puerto Rico and applicable United States federal law. Disputes go to the courts located in Puerto Rico, unless the law where your business is located says otherwise. Please email us first; most problems are solved faster that way.
